The American Association of State Highway and Transportation Officials is currently hiring a Finance Coordinator, a full-time position located in our Washington, DC office.
Nature of Position
Under the direction of the Director of Finance and Administration, the Finance Coordinator ensures the effective operation of internal office administration. This position typically performs a variety of tasks at one time, and must be able to establish priorities for the completion of time-sensitive, and at times confidential, assignments.
The incumbent will be responsible for tasks that support AASHTO’s internal office administration, which includes working with building management to support office space maintenance and responding to staff requests; maintaining relationships with vendors and acting as the staff liaison for the company’s teleconferencing/web conferencing, offsite storage, and office supply services; managing employee parking and transit benefits; and maintaining the Association’s Emergency Preparedness Plan. The Finance Coordinator also assists with new employee orientation by training new employees on timekeeping and expense report tools, and other critical internal office administration processes, and is responsible for maintaining Association processes on the staff Intranet.
This position is also responsible for assisting the accounting team with regular duties such as preparing and depositing cash receipts; running monthly financial reports; completing tax exemption and credit applications; resolving staff expense report and timekeeping website challenges; and regularly updating the association’s chart of accounts, check request and billing forms. The Finance Coordinator must maintain an effective electronic and physical filing system for administrative documents and contracts as well.
Working with the Director of Finance and Administration, the incumbent will provide support for the Committee on Internal and External Audit, which includes maintaining the committee database and website.
The incumbent will also be responsible for departmental administrative responsibilities and assist the team as needed. Regular administrative duties include drafting correspondence; directing telephone calls to appropriate staff; and other administrative activities as directed by the Director of Finance and Administration.
The successful candidate will have two years of professional experience, preferably in an office administration environment, and an Associate’s Degree, or an equivalent combination of education and experience. Strong computer skills, specifically in Microsoft Word and Excel, and a superior understanding of utilizing database applications for specific assignments are required for this position. Excellent problem solving, written, and oral communication skills are essential to this position. An aptitude for working with figures, the ability to work quickly, independently, and accurately by demonstrating excellent proofing capabilities for all assignments is required. The incumbent must be able to exercise sound judgment and pay close attention to detail, as well as take responsibility for projects of a sensitive and confidential matter.
