The American Association of State Highway and Transportation Officials is currently hiring an Administrative Specialist for Engineering Programs, a full-time position located in our Washington, DC office.
Nature of Position:
This position provides administrative program support to the Director of Engineering, to other personnel in the department, and to several committees and technical service programs within the Engineering Division. The incumbent also assists with staffing the Special Committee on Route Numbering and provides support to the managers of the programs for the engineering division committees.
The incumbent maintains the membership database for the engineering committees, and compiles and updates member department information on the Engineering committee web sites. The incumbent has responsibility for solicitations and surveys, and prepares electronic ballots for the Council on Highways and Streets, the Special Committee on Research and Innovation, other engineering committees, and several engineering technical service programs. The incumbent tabulates ballot results, prepares reports, and distributes the information to staff and the member departments.
The incumbent generates general correspondence, coordinates with association members, and assists in the development of meeting agendas for the Council on Highways and Streets, AASHTO-ACEC Joint Committee, Special Committee on Route Numbering, and others. The incumbent executes a variety of tasks for the supervisor, program support staff, committees, and technical services programs served. This may include drafting letters, PowerPoint presentations, documents for printing and distribution, and other documents as necessary to respond to press and public inquiries; and referring them to appropriate personnel when appropriate. The incumbent also performs administrative tasks as assigned.
The incumbent processes receivables, payables, and committee member expense claims and other related financial transactions associated with one or more engineering technical service programs. The incumbent must be able to establish priorities in order to complete time-sensitive assignments.
The successful candidate will have knowledge or understanding of association work and two years of progressively responsible experience. A Bachelor of Arts or Science degree is required, preferably in the areas of science, engineering, or a policy-related field, or the equivalent years of experience may substitute for higher education.
The candidate must have excellent organizational skills, essential business skills, and well-developed computer skills, including demonstrated competence with word processing, electronic mailings, spreadsheet development and use, web site maintenance, and presentation development.
In addition, broad familiarity with contract administration and financial reporting is required, as are excellent written and oral communication skills. Candidates should have the ability to effectively organize activities.
