Why does the job exist?
The position involves processing and tracking financial documents such as purchase requisitions, vouchers, invoices, contracts and price agreements with established department rules and procurement laws. This position may assist in other administrative functions as required.
How does it get done?
Incumbent is responsible for entering data from vendor invoices into the SHARE system, processing per diem reimbursement requests, generating reports from SHARE, and tracking vendor payments in Excel. This position is also responsible for conducting pre-audit of purchase vouchers prior to submitting to Financial Control, completing fixed asset certifications, auditing invoices for contractual services after approval and entering the payment in SHARE, maintaining files of financial transactions on federally funded projects and other administrative functions as required.

Internal Department of Transportation employees and New Mexico Department of Transportation vendors.
Ideal Candidate
The ideal candidate should have experience with:
-Data entry into SHARE Financial;
-Creating and maintaining Excel spreadsheets
-Complying with Federal and State requirements;
-Quality checking financial payments for completeness, consistency, and accuracy.
Minimum Qualification
High School diploma or Equivalency and one (1) year experience in bookkeeping, accounting and/or finance. Substitutions Apply. See Substitution Table below.

Employment Requirements
Must possess and maintain a valid New Mexico Driver’s License.
Working Conditions

Work is performed primarily in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer to include working with computers, faxes, copiers and printers, and phone usage with extended periods of sitting, standing, bending, squatting, climbing, reaching, kneeling and crawling. Ability to lift up to 25 lbs. Some travel may be required.
