The American Association of State Highway and Transportation Officials is currently hiring a Publications Administrative Assistant, a full-time position located in our Washington, DC office.

Nature of Position:

Under the direction of the Director of Publications, the Publications Administrative Assistant is responsible for supporting the Publications team and works closely with AASHTO’s Administration team providing reception-related support.

The position coordinates all fulfillment activities and inventory maintenance, working closely with the third-party fulfillment contractor; updates distribution lists and provides education and outreach to membership regarding critical publication releases; schedules and distributes publications in print and digital formats through online system to member for new publication mailings; fields numerous customer service questions on a daily basis; updates ISBN logs and copyright registrations; assists with digitizing and storage projects; assists with meeting logistics and shipments; assists with publication production tasks; assists with publication marketing research; distributes division mail; and other tasks as assigned.

The incumbent also holds some reception related responsibilities for the overall organization, and is seated at the office’s main entrance. These responsibilities include:

  • Greeting visitors arriving for AASHTO-related business, and communicating with the building and AASHTO staff as needed to support the visitor management process.
  • Serving as the first point of contact for office/ building-related matters, such as maintenance requests identified by staff and deliveries to the office; and informing key Administration staff so they may address these requests appropriately.
  • Reviewing voicemails to AASHTO’s general voicemail box, and routing them appropriately.

Position Requirements:

The successful candidate will have a minimum of two years’ administrative experience in an office environment, and inventory or publishing experience is a positive. A high school diploma is required and college-level course work in a related field is preferred and not required

The candidate must have excellent demonstrated written and oral communications needed, as well as high-level organizational and time-management skills, and high-level of experience in using MS Office products.  The incumbent must have good customer service skills; critical thinking skills, and the ability to multitask, work under pressure, and meet deadlines. Past experience in customer service positions and prior experience that demonstrates evidence of professional growth and increasing responsibility is preferred.
